Business Visas

Documents Required

It is strongly recommended to submit a complete set of documents as outlined below. All documents must be recent (not older than one month). Originals are required at the time of the appointment along with photocopies. Documents not in German, English, Spanish, or French must include a certified translation into German or English.

 Application Form:

• Printed and signed visa application form (Videx short-stay online application form, including the barcode page).
• A separate application form is required for each applicant

Passport:

Valid original passport signed by the holder:

• Issued within the last 10 years.
• Valid for at least three months beyond the planned departure date from Germany.
• Must contain at least two blank pages.
  

UK Residency:

• UKVI Immigration/E-Visa and Share Code for “right to work” or “Prove your immigration status”
  – For all non-UK passport holders.

Photographs:

• Two UK passport – sized photos (35 x 45 mm, taken on a white or off-white background; no digital alterations).

Proof of Business Purpose:

For Business Travellers:

• An original, recent (within one month) and signed formal invitation from the German business partner outlining the business relationship, travel purpose, trip duration, and, if applicable, confirmation of coverage for travel and accommodation expenses.
  • For Trade Fair Visitors/Exhibitors:
• The original, signed exhibitor pass or trade fair admission pass.
  • For Academics/Researchers:
• A formal invitation or hosting agreement from the German academic institution or research facility.
  • For Conference Participants:
• A formal invitation from the conference organisers.
  • For Students/Pupils on Mandatory Field Trips:
• A formal confirmation from the UK educational institution stating that the trip is mandatory.

Proof of Occupation:

For Employees:

• A recent (within one month) employer’s letter confirming employment, business relationship with the German partner, travel purpose, and duration of the business trip; and/or three months’ pay slips.

For Self-Employed:

• A recent (within one month) letter from a qualified professional (accountant, banker, or solicitor) on official headed paper confirming self-employment or business ownership in the UK, including details of remuneration; or a self-assessment form with the last three months’ business bank statements.

Proof of Funds:

• UK bank account statements for the last three months showing a current balance of at least £40 per day living allowance for the duration of the stay.
• Statements must include the applicant’s name, address, and monthly spending limits.
• The balance should also cover the cost of travel and accommodation if not prepaid.

Proof of Travel:

• Confirmed return travel tickets (airline, ferry, or train) showing the applicant’s name and travel dates.
• For travel within the Schengen area, additional travel documentation must be provided.
• It is advisable to book fully refundable tickets.

Accommodation:

• Confirmed hotel bookings or accommodation arrangements for the full duration of the stay, including the applicant’s name, travel dates, and accommodation address.
• Alternatively, a booking confirmation from a tour operator or similar document may be provided.

Travel Health Insurance:

• A valid policy showing the applicant’s name with a minimum coverage of €30,000.
•  Must be valid for all Schengen member states and cover the entire intended stay.

Additional Documents for Minors (if applicable):

• A separate application form for each child, signed by both parents or all guardians.
• Original passports of both parents and child’s birth certificate (translated if necessary)
• For unaccompanied minors, a declaration or letter of consent signed by both parents authorizing travel and designating a responsible person is strongly recommended.
